Terms of Service

Blue Knights HQ — DCTC Blue Knights Baseball

Last updated: October 31, 2026

These Terms of Service (the "Terms") govern access to and use of Blue Knights HQ (the "Service"), an application operated by DCTC Blue Knights Baseball (the "Program") for its coaching staff ("Coaches") and its rostered players ("Players"). By signing in to or using the Service, each user agrees to these Terms and acknowledges the Privacy Policy, which forms part of these Terms.

1. Eligibility and accounts

1.1 The Service is provided solely to Coaches, Players and other persons for whom a Coach or administrator has created an account. It is not offered to the general public.

1.2 Each user shall keep sign-in credentials confidential, shall not share an account, and shall notify the Program promptly of any unauthorized use of an account.

1.3 The Program may suspend or deactivate an account at any time, including when a Player leaves the roster. Deactivation does not alter the ownership terms in Section 3.

2. Permitted use

2.1 The Service shall be used only for the Program's coaching, player development, wellness, scheduling, video review, scouting and recruiting purposes.

2.2 A user shall not access data the user is not authorized to view, attempt to circumvent any access control, or copy data from the Service except through the Service's own export or download functions or with the Program's written consent.

3. Ownership of data

3.1 Player-Owned Data. The following belong to the Player who created or provided them: (a) the Player's personal notes and journal entries, including any note the Player writes on a pitch, at-bat, game, video or other item in the Service ("Personal Notes"); and (b) the wellness and readiness check-in responses the Player submits ("Wellness Data"). Personal Notes and Wellness Data together are "Player-Owned Data."

3.2 Program-Owned Data. All other data in the Service belongs to the Program, including without limitation pitch-tracking and measured performance data (such as FlightScope, HitTrax and TrackMan data), game video and video annotations made by Coaches, scorekeeping and game records, throwing and training programs, schedules and calendars, recruiting profiles, and notes written by Coaches ("Program-Owned Data").

3.3 License to the Program. While a Player is on the roster, the Player grants the Program a limited right to store, display and process Player-Owned Data solely to operate the Service and, for any Personal Note the Player has shared, to make it available to the persons with whom the Player shared it.

4. Personal Notes and sharing

4.1 Private by default. A Personal Note is visible only to the Player who wrote it unless and until that Player shares it.

4.2 Owner controls sharing. Only the owner of a note may share it, and the owner alone decides with whom and when it is shared. No Coach or other user may share another person's note, or enable sharing on that person's behalf. Notes concerning wellness and mental skills begin private and are not included in any automatic sharing unless the owner chooses to include them.

4.3 Unsharing. An owner may stop sharing a note at any time. Unsharing ends further access from that point forward. It does not undo access that has already occurred, and a person with whom the note was shared may already have read it.

4.4 Duty to report. Before sharing a note with a Coach, a Player should understand that Coaches may be required by law or by college policy to report or refer certain information, including information concerning a risk of harm to self or others, abuse, or sexual misconduct. If a shared note contains such information, the Coach may be required to notify the appropriate college office or authority, which may contact the Player to offer support and resources. A note is not a means of emergency contact. A person in crisis should call or text 988 (Suicide and Crisis Lifeline) or call 911.

4.5 Notices. The Service presents notices about sharing and reporting. A user may acknowledge a notice once and choose not to see it again; the notice text remains available on these pages, and a notice will be presented again if the rule it describes changes.

5. Downloads, deletion and departure

5.1 Download. A Player may obtain a copy of the Player's Player-Owned Data at any time, through the Service's download function where one is provided, or by written request to the Program.

5.2 Deletion while on the roster. A Player may delete the Player's own Personal Notes. A Player may not delete Wellness Data while on the roster, but may request its deletion in writing, and the Program will act on the request.

5.3 After departure. After a Player's account becomes inactive, the Player may request a copy or the deletion of the Player's Player-Owned Data by written request to the Program, and the Program will provide the copy or complete the deletion.

5.4 Coaches' notes. Notes written by a Coach are Program-Owned Data and remain with the Program after a Player departs or deletes the Player's Player-Owned Data. When a Player's Player-Owned Data is deleted, any copy of that data contained within a Coach's note (for example, wellness values or quoted journal text) is removed and replaced with the words "removed at the player's request." The Coach's own words and the labels identifying what the note concerns remain.

5.5 Each person controls only that person's own words. In any exchange of notes, each person may delete only that person's own contribution.

6. Education records

Records maintained by the college that relate directly to a student may be education records under the Family Educational Rights and Privacy Act (FERPA). A Player who is a student may have the right to request to inspect such records, which may include notes written by Coaches about the Player. Coaches write notes with that understanding.

7. Disclaimer

The Service is provided "as is" and "as available," without warranty of any kind, and is maintained on a reasonable-efforts basis for the Program's own use.

8. Changes

The Program may amend these Terms. Material changes will be announced in the Service before they take effect, and the "Last updated" date above will change.
